If you used ClassLink to roster your students during the previous school year, follow the directions below to share updated rosters for the new school year via ClassLink.
Before you begin:
|
Back-To-School Preparation
Step 1: Decide the dates you will pause your ClassLink data export over the summer.
Step 2: Consider if you will use DreamBox for summer school.
- Share your summer school classrooms via Roster Server along with your school year classrooms.
- If you cannot share your summer school classrooms via Roster Server, submit a DreamBox Insight Roster Upload. Your data export must be paused before submitting the Insight Roster Upload.
Step 3: Email your DreamBox representative the following information:
- Data export stop and start dates.
- Summer school start and end dates (if applicable).
- The date you want to launch DreamBox for the new school year (when teachers and students will begin using DreamBox).
- Contact information for the person managing the ClassLink administrator dashboard.
- If your district will adjust your rostering or sign-on method for the upcoming school year.
- Will you share any additional schools, subjects, or staff accounts this coming school year?
- Would you like to use OAuth SSO as an authentication method?
What You Need to Know Before Setting Up Your Data Sync
Item 1 |
Which classes/sections in your SIS should have access to DreamBox? |
Item 2 |
Will users (students/teachers/administrators) log in via an SSO/district portal? |
Item 3 |
Are there users who need access to DreamBox that are not enrolled in your SIS? If so, use ClassLink’s Manual Records feature to add the users to the Roster Server. |
Item 4 |
Do you have classrooms that are not in your SIS, but will need access to DreamBox? If so, please contact ClassLink Support to have additional classrooms added to the Roster Server. |
How to Set Up Your ClassLink Sync
Step 1: Alert your school/district stakeholders and review the DreamBox rosters to ensure everything is correct. If this is your first time rostering via ClassLink, set up your SFTP data export. If you need the hostname, username, and password, please contact your DreamBox representative.
Step 2: Adjust your permissions so that only the schools, teachers, classrooms and students that should have access to DreamBox are included in the data export.
Click here to open the ClassLink Support instructions on adjusting permissions. |
Step 3: Share all administrators who need access to DreamBox. If administrators are not enrolled in your SIS, use the Manual Records feature to add them to Roster Server.
Step 4: If you would like students/teachers/administrators to log in to DreamBox via single sign-on, follow the steps below based on your authentication method.
OAuth |
Verify our Customer Support team has added your tenant ID in our system, and that you have assigned the DreamBox OAuth SSO app in your LaunchPad. |
SAML |
See ClassLink’s support article on setting up authentication in the LaunchPad SAML Console. Send your IDP metadata URL to our Math Customer Support team. Users must be rostered and Customer Support must have your IDP metadata URL before you can start using SSO. |
DreamBox Customer Support will contact you if we have questions before processing your data. It may take up to two business days to process your initial data export.
What To Do After Customer Support Confirms Your Roster Update
Step 1: Log in to your DreamBox educator dashboard to verify the rosters are correct.
- Review your data and make any necessary adjustments in your SIS or ClassLink Roster Server.
- Notify all IT and curriculum stakeholders to review the rosters in DreamBox and make sure they are ready for teachers and students.
Step 2: If using SSO, log in as a teacher and student to verify there are no login issues.
Step 3: If you have specific circumstances that prevent you from making certain roster adjustments, contact DreamBox Customer Support so we may help to find a resolution.
ClassLink Best Practices
Login Information |
Educator (teacher and administrator) accounts are created based on the email address listed for the user. Student accounts are created from a unique student ID number. If a student is removed, their data will be available if they are reentered in the system using the exact same student ID number. |
SYNC Information |
Rosters will be updated within DreamBox the following business day. The DreamBox Customer Success team will review and process district updates on a daily basis, adding an additional level of data validation. If an update appears to be out of the ordinary for your district, we will reach out directly to your IT team. |
Renaming Classrooms | Classroom names will appear as they are shown in your SIS, or slightly modified if the names are duplicated in the SIS. If you want to rename the classrooms, contact DreamBox Customer Success and we can determine naming parameters. |
Tips for a Smooth Back to School
- Be sure to clearly communicate to teachers how they will log in to DreamBox and how their students will log in to DreamBox. If using SSO, make sure teachers know how to access student login credentials and equip students to successfully log in at home using these credentials.
- Make sure your educators know who to contact at your district or school to answer questions regarding the ClassLink data export.
- DreamBox recommends you send files nightly, Sunday through Thursday.
