Loading Rosters: Clever Automated Roster Management

If your entire school or several schools in your district will be using DreamBox, we recommend choosing one of our three automated options to manage your rosters:

  • Clever Automated Roster Management
  • ClassLink Automated Roster Management
  • DreamBox Automated Roster Management

This article focuses on how to set up classroom rosters via Clever. 

 

What does Clever offer?

Clever automates the secure transfer of student rosters between your Student Information System (SIS) and DreamBox. This enables continuously updated roster information in learning programs with single sign-on access (SSO) for students and teachers.

  • Clever is FERPA compliant, allowing you to securely maintain student rosters throughout the year so your teachers can concentrate on instruction.
  • Creating classrooms and administrators through Clever gives you control over your roster data and staff permissions.
  • Clever is offered at no extra cost to your district.
  • Flexible upload and SSO options, including receiving data by Secure FTP.

We highly recommend using Clever for the following actions, especially if you already use Clever for other applications:

  • Updating rosters: Clever makes it easy if you would like to share rosters for an entire school or multiple schools.
  • Creating administrators: This allows for the visibility of other administrators as well as control over administrator permissions.
  • Creating classrooms: Clever Custom Sections allow you to create and manage virtual classrooms via Clever. This gives the district complete control over any virtual classrooms that are not shared via the Student Information System (SIS).

Clever Rostering Basics

If you are ready to get started with Clever, please coordinate with your district IT team to complete the steps below:

Step 1: Complete and submit the Integrations & Access form

Step 2: Follow the steps listed on the Clever + DreamBox Setup Guide to set up your Clever account and begin sharing data.

Step 3: If you have not done so already, configure Clever Instant Login to utilize Clever as an SSO provider. Clever will not transfer password data, so we encourage you to configure Clever Single Sign On if you would like students to sign in to DreamBox using a district-assigned password.

Step 3: Filter your data so you share only the schools, subjects, classrooms, and educators who will need access to DreamBox.

Step 4: Review the data you identified will be shared with DreamBox to make sure it is ready.

Step 5: After you confirm your data is ready to be pulled into DreamBox, contact DreamBox Customer Support

After you confirm your data is ready, DreamBox Customer Support will review your data and reach out if we have any questions before pulling it into DreamBox. Please plan for this process to take up to 2 business days after we have confirmed your data is ready to process. You will receive an email from our team when this process is complete.

DreamBox Math, DreamBox Reading Park, and DreamBox Reading Plus are separate applications in Clever. If your district is using multiple DreamBox products, be sure to request and set up your sharing permissions in Clever for each product. 

 

Creating and Sharing Classrooms through Clever

After preparing your data to be shared, the next step is to determine which classrooms and students should be shared. Sharing only the classrooms that should be active in DreamBox helps to streamline your rostering experience so teachers and students can get connected as quickly as possible. There are two ways to specify in Clever which classrooms should be shared with DreamBox:

  1. Sharing Permissions: Specify which sections are shared with DreamBox.
  2. Custom Sections: Create a classroom for a group of students who are not enrolled in the same section in your SIS. 

Sharing Permissions

You can adjust Sharing Permissions in your Clever dashboard to send specific classrooms and subjects to DreamBox via Sharing Rules. For example, we recommend sharing only the following sections and subjects with DreamBox:

  • Math: Homeroom/Advisory, Math, Technology, Engineering, Other
  • Reading Park: Homeroom/Advisory, Other

Custom Sections

If you need to create classrooms in DreamBox that do not exist in your SIS, Clever’s custom sections feature allows you to create and manage classrooms manually within the Clever district dashboard. We recommend using custom sections for your intervention classrooms, small groups, and any other classrooms that cannot be shared via your student information system. After you create the custom sections in Clever, you can share them with DreamBox through the Clever interface.
 

Creating and Sharing Administrators through Clever

If you are using Clever to create students, classrooms, and rosters in DreamBox, it is important to also create and share accounts for all staff members who should have access to DreamBox via Clever. This allows you to create and manage all staff members who should have access to DreamBox and student data in DreamBox.

What will a staff member be able to see and do in DreamBox based on their Clever role?

When you create and share administrators through Clever, each staff member will have an account type and role inside Clever as well as DreamBox.

District-Level Roles

Users assigned one of the following roles in Clever will have district-level permissions in DreamBox, giving them access to DreamBox reports at the district and school levels. They will be able to see all schools, teachers, and classrooms in DreamBox. This will also affect their permissions in Clever. Clever Admin The most permissive; these users can see and adjust all Clever features and sign in via Clever SSO. Click here for directions on how to add or remove Clever Admins. 
District Helpdesk These users can sign in via Clever SSO, view login metrics and reports, and access troubleshooting tools including resetting passwords. Click here for directions on how to add or remove District Helpdesk users.
District Curriculum Lead These users can sign in via Clever SSO, view login metrics, and see reports in the Clever dashboard. Click here for directions on how to add or remove District Curriculum Leads. 

School-Level Roles

Users assigned one of the following roles in Clever will have school-level permissions in DreamBox. They will have access to DreamBox reports for all schools with which they are associated in Clever. They will be able to see all teachers, classrooms, and students at these schools in DreamBox.

School Tech Lead Depending on the settings in Clever, these users can adjust sharing permissions, customize the Clever portal, and troubleshoot teacher issues for connected, associated schools. They can also sign in to DreamBox via SSO. Click here for directions on how to add or remove School Tech Leads.
Portal Access This is the default role assigned to staff members via Clever. They can sign in to DreamBox via SSO but will not have any other permissions in Clever.


I want a staff member to see all schools in DreamBox but not have district-level access in Clever.

Alternatively, a district can use the Clever Staff file to add school-level permissions for all schools in a district. This means that these users will be granted access to school-level reports in DreamBox. Please note that granting a user school-level access to all schools in a district will not grant a user district-level access in DreamBox. You must assign them a district-level role in Clever.

Can Clever Automated Roster Updates Be Rejected by DreamBox?

If a member of the Customer Support Team reviews your updates and there are significant changes that should require approval from the district before we proceed, we will reject the updates. Any questionable data changes must be verified with District IT before approval. We will not process any changes until approval has been given by IT. This may cause a delay in seeing updated information on the Dashboard.
