This article walks through recommendations and tips to help you prepare and upload your Insight Roster Upload spreadsheets for the new school year.

Confirm the Rostering Data that Needs to be Shared
To guarantee DreamBox Math will be ready for students and teachers, upload your roster spreadsheets at least one week before students and staff need to log in for the first time. |
Verify the following with your district or site DreamBox Math administrator:
- Which students, classrooms, grade levels, and schools need access to DreamBox Math?
- Is this a change from the rostering data you shared last year, either adding or removing DreamBox Math access in your district?
- Are there any new and non-standard classrooms, educators, or student groups who need access this year?
Share the following information with your DreamBox Math company representative:
- Summer school start and end dates, when applicable.
- When your new classroom rosters will be ready to share with DreamBox.
- The date you want to launch DreamBox Math for the coming school year.
- Relevant IT personnel contact information in case the DreamBox Support Team has any questions while processing your roster data.

Review the Insight Roster Upload process
To update existing educators, students, classrooms, and classroom rosters in DreamBox Math for the new school year, you need to prepare and submit both of the required CSV spreadsheets.
- Educator Spreadsheet: Create and adjust educator accounts in bulk.
- Student/Classroom Spreadsheet: Create and update student accounts, classrooms, and classroom rosters in bulk.

Review how to create and update administrator permissions in the dashboard
You can edit staff members directly from the Educator tab in your dashboard. We recommend using this tool vs sending another Educator spreadsheet if you:
- Don't need to add any staff members, just update permissions and classroom associations.
- Need to update administrator permissions or after your spreadsheets have been processed by DreamBox Customer Support.

Prepare and Review your Educator and Classroom/Student Spreadsheets
To guarantee DreamBox Math will be ready for students and teachers, upload your roster spreadsheets at least one week before students and staff need to log in for the first time. |
Spreadsheet & Roster Data Best Practices
Best Practice | Why We Recommend It |
Roster spreadsheets should be prepared and uploaded by a centralized administrator. |
This will limit the number of roster uploads in your district, and ensure consistency across sites and grade levels. |
Do not edit the CSV template headers in any way. |
This will save you time when you upload your spreadsheets. The CSV templates are case and space-sensitive. If you edit the headers, even if you add an invisible space, it will cause an error or warning when you upload them which you will need to review and correct. |
If your spreadsheet contains multiple schools, ensure the address, city, and zip code, match for each school. |
This will save you time when you upload your spreadsheets. If the school information on your spreadsheets this year is different from the school information in DreamBox Math now, it will cause an error or warning when you upload them which you will need to review and correct. |
Student ID numbers must remain unique and consistent for each student, year over year. Do not reuse student ID numbers of a student who has moved out of your district or school |

If you would like K-2 students to be set to text passwords, reach out to DreamBox Customer Support. | Grades K-2 students default to picture password in DreamBox Math. DreamBox Customer Support can help you adjust this. |
If you will include Initial Placement in the spreadsheet, validate that students' initial placement grade level is correct before submitting your spreadsheets. |
This will help ensure students are placed at the correct starting point in the DreamBox Math curriculum. Initial placement is intended for RTI and similar situations where students’ math performance may be significantly lower/higher than their grade level. Students who are not significantly off their grade level should not have initial placement specified. |
Review your Educator spreadsheet to ensure the following is true:
- You have shared all teachers and staff members, including administrators, with correct email addresses.

- You have included each teacher's first and last name, email address, and any administrative permissions.
- The school names are typed exactly as you would like them listed in your DreamBox Insight Dashboard
- You have saved the teacher spreadsheet as a .csv (comma-delimited) file.

Review your student spreadsheet to ensure the following is true:
You can leave the following columns blank:

- You have removed the sample data from the downloaded roster templates.
- You have included the first name, last name, and grade level for each student.
- You have shared the unique student school ID for each student, and it is the same student ID that will be used every year.
- The DreamBox Math classroom names are unique and classrooms have no more than 40 students.
- Each student is only listed once on the spreadsheet.
- School names are listed exactly as they are shown in your DreamBox Insight Dashboard.
- You have saved the student spreadsheet as a .csv (comma-delimited) file.

Upload, Review & Address Spreadsheet Errors and Warnings

Errors
After uploading an Educator or Student/Classroom spreadsheet you may see that the file contains errors. All errors must be fixed before you can upload and submit the file successfully.

Warnings
After uploading an Educator or Student/Classroom spreadsheet you may see that the file contains Warnings. Warnings highlight what will be created, updated, or show no change if you submit your file. Any rows that trigger a warning do not need to be edited before you can upload and submit the file successfully, but we wanted to highlight this information before you submit a spreadsheet file so you could review it and choose to fix it or submit the spreadsheet.

After You Submit Your Spreadsheets

It can take up to two business days for the DreamBox Customer Support team to process and finalize your roster updates for the new school year. When your rosters are ready to review in the educator dashboard:
- Alert your school/district stakeholders that rosters are ready for review.
- Review the updated rosters inside the dashboard.
- Contact DreamBox Customer Support if you need any roster adjustments.
