If your district uses DreamBox Automated Roster Management (ARM) to create and manage rosters in DreamBox Math, all staff members who need access to DreamBox Math need to be shared via ARM. In addition to streamlining the rostering process by managing all Math users via ARM, you can also simplify how users access DreamBox Math district-wide by leveraging DreamBox Single Sign-On.
Determine which staff members need access to DreamBox Math
There are two levels of DreamBox Math administrators:
- District-level administrators have access to all schools, teachers, and classrooms in the district, including district-level reports.
- School-level administrators have access to the school's information, all teachers, classrooms, and students at the school. School-level administrators also have access to school-level reports. You can grant staff members access to multiple schools, but they will only see school-level reports.
Adding Administrators via ARM
When using DreamBox ARM, you may export school and roster information into two CSV spreadsheet files or a single file CSV, depending on which option works best for your district. The roster information in the files will create the schools, educators, students, classrooms, classroom memberships, and enrollments. Adding Administrators via Single-File CSV

To grant administrator permissions in the single-file CSV:
- School-level: Add a “Y” to the corresponding row in column AA.
- District-level: Add a “Y” to the corresponding row in column AB.
To grant a staff member school-level permissions to multiple schools, add the staff member and corresponding information for each school to separate rows in your CSV.
Column D of the spreadsheet allows you to specify educator type, but this does not grant the user administrator permissions in DreamBox. Educator type allows DreamBox to group users by type/title vs. assign permissions.
Note: If you add an educator type in this column it must be consistent in all other places in the file. Column D may be left blank if needed. |
Please remember:
- Every time you transmit a single-file CSV, it must contain all schools, educators, classrooms, and students that will be using DreamBox Math, even if you only updated administrator permissions for a few accounts.
- All changes will be processed during the upload, but the file must be complete each time.
Note: If your file contains only updated information rather than all of your schools and rosters, then any object that is no longer included in the file will be deleted in DreamBox Math. |

If you are using the two-file CSV format, you need to add staff members and specify permissions inside the Teacher Spreadsheet. Follow the directions in this article to complete the teacher template for the two-file CSV.
To grant administrator permissions in the two-file CSV (Teacher Spreadsheet):
- District-level: Add a “Y” to the corresponding row in column F.
- School-level: Add a “Y” to the corresponding row in column G.
Remember to add the SAML ID to the correct row in column D if you would like this administrator to be able to log in via DreamBox SSO. |
To grant a staff member school-level permissions to multiple schools, add the staff member and corresponding information for each school to separate rows in your CSV.
Please remember:
- Share both the Teacher and Student spreadsheets each time you transmit your files.
- Both files must contain all schools, educators, classrooms, and students who will be using DreamBox Math.
- All changes will be processed during the upload, but all files must be complete each time.
Note: If your files contain only updated information, like updated administrator permissions, rather than all of your schools and rosters, then any object that is no longer included on the files will be deactivated in DreamBox Math. |
Updating Administrator Accounts via ARM
After you add administrator accounts via ARM any updates you make to these accounts via ARM will appear in DreamBox Math within one business day. If you stop sharing an administrator account the user will lose access to DreamBox Math. This helps you see and control permissions for all users who have access to DreamBox Math.
Updates may not be visible immediately the next morning. Please allow time for the DreamBox Customer Support team to review any changes and process your update.

FAQs
Q: What do I do if I can share administrators via ARM but I can't assign the appropriate DreamBox role in the ARM file/s? |
A: If this happens, you can update their DreamBox roles from the Educator tab. Updates you make in the Educator tab will remain the same even if those user accounts have different roles and permissions in your ARM file/s.
To share administrators via ARM and update roles in DreamBox:
- Share these administrators via ARM with the permissions you are comfortable assigning in the ARM file/s. These accounts should be created in DreamBox within one business day.
- Open the Educator tab, locate the educators' accounts, and update their DreamBox role.

Q: What do I do if I can't create administrators in the Educator's tab in DreamBox? |
A: Depending on your district's roster management settings, you will have Edit or View Only access in the Educator tab. Click here to learn more about what this looks like in the tab and what next steps to take.
Q: What do I do if I need to remove administrators that weren't created via ARM? |
A: If you need to remove access from an administrator account that was created separately from your ARM file/s, the IT coordinator who manages rosters in your district needs to do the following:
- Email support@dreambox.com, CCing your DreamBox representative.
- In the email, include all of the names and emails of the administrators that need to be removed and request that these accounts be deactivated in DreamBox Math.
After our Customer Support team fulfills this request these administrators will no longer have access to DreamBox. Please note that if the account is being shared or is shared again via your ARM file/s, the user will regain access to DreamBox.
