DreamBox Math Educator Dashboard: Create a Teacher or Administrator (Administrators)

District and school administrators may be able to add new teachers or administrators to a DreamBox Math school from  from inside their dashboards.. This article walks through the different methods administrators can use to add a new staff member to DreamBox Math.

If the teacher already exists in DreamBox Math because they have been added in the past, do not create a new account. Instead:

  • Click here for directions to confirm a teacher account has been created.

How Do You Open DreamBox Settings?

Educators follow different steps to create a teacher or administrator based on how their DreamBox Math educator dashboard is configured. The quickest way to determine which directions to follow is to sign into your educator dashboard  and check if the Settings icon appears in the top navigation pane.

Administrators access program settings by clicking the Settings icon in their DreamBox Math educator dashboard.

Drop-Down Menu

 

Educators cannot see the Settings icon in their DreamBox Math educator dashboard. To access program settings, they select their name and then click Roster Management in their DreamBox Math educator dashboard.

Settings Icon: Should You Create a New Educator Account?

Before you create a new educator account in DreamBox Math, you need to confirm several things, including: 

  • Your dashboard editing permissions.
  • If the educator account already exists in DreamBox Math.
  • How your district creates and updates rosters in DreamBox Math.

To confirm this information:

Step 1: Sign in to your Dreambox Math educator dashboard.

Step 2: Open the Educator tab.

  • Select the Settings icon and then select the Educators tab.

Step 3: Confirm you have Edit access in the dashboard.

Depending on your district's roster management settings, you will have Edit or View access in the Educators tab.

  • To determine your access type, open the Educators tab and check the banner near the top of the page. 
  • If the banner shows you have View permissions, you can see educator accounts but not update them.

Step 4: Confirm the educator does not already exist in DreamBox Math.

Search for the teacher or administrator in the Educator tab. Make sure you review the specific pages where they may appear:

  • Select Unassigned in the Users drop-down in case they have an account but it is not associated with a school.
  • If they should be a District administrator, filter for All Schools in the School drop-down.
  • If they should be a teacher or a School administrator, filter for that specific school in the School drop-down.

 

Step 5: Confirm how your district or school shares rosters with DreamBox Math. 

Your rostering method will determine your next steps. If your district or school uses: 

An Automated method

(Clever, ClassLink, or DreamBox ARM)

Spreadsheet Upload

(Insight Roster Upload)

Instead of manually creating an account, contact your district IT team so they can share the educator via the district rostering method. 

Only create a DreamBox Math account manually if your rostering method does not offer the option to create the account.

If you have confirmed the educator does not already exist in DreamBox Math, you can create the educator account.

Settings Icon: Creating a New Educator Account

Step 1: Open the Educators tab and the Add New Educator window.

  • Sign in to your DreamBox Math dashboard and select the Settings icon.
  • Click the Educators tab.
  • Click the Add New Educator button.

Step 2: Add the educator's first name, last name, and email address, and then select their role.

Step 3: Your next steps depend on the role you choose:

District Admin School Admin Teacher
No next steps. The educator is ready to save.  Select the school they should be associated with in DreamBox Math. Select School and connect them with an existing classroom in DreamBox Math. 

 

Step 4: Click Save. The staff member will appear on the correct School page in the Educator tab. 

 

Step 5: Reach out to the educator and share that their account has been created. 

  • Email the educator, letting them know their DreamBox Math account has been created. 
  • Include a link to this help center article. It will walk them through setting their password and signing in for the first time.
Support Icons_Tip Box_50px.png Any educator you create in the Educator tab will log in directly to DreamBox. They will not be able to log in via Single Sign-On through your district or a third-party portal. They will not know if they have an account or how to set their password and sign in unless you share that information with them.

Selecting Roster Management: Creating a Teacher or Administrator

If your district or school manages your rosters, we recommend you reach out to your school or district IT team and/or DreamBox Math administrator to ask that the educator be shared with DreamBox Math.

Administrators can add or remove teachers from their classrooms using the My Admin tools in their Discovery Education dashboard.  Depending which dashboard you are currently viewing, you will open My Admin in one of two ways:

  • Click your name in the top right corner of the page and then select Roster Management

FAQs

Q: I followed the directions but saw the "Email address is already in use" error. How do I fix this?

A:  If you see the "Email address is already in use" error the educator already has an account in DreamBox. You can add them to a classroom by following the steps listed here.

Q: Can I update a teacher or administrator's email from my Math dashboard?

A: Educator email accounts cannot be updated from the educator dashboard. However, they can be updated and the method depends on your school or district rostering method. If your school or district uses:

  • An automated rostering method like Clever, ClassLink, or ARM: Your district IT team must update the educator's email in the Clever or ClassLink dashboard, or in the ARM file/s they are sharing.  When our system processes that the existing educator's email address has been updated, the changes will be made in DreamBox Math. Please reach out to your site administrator or district IT team and request these changes. 
  • Spreadsheet uploads at the beginning of the year (Insight Roster Upload): Reach out to DreamBox Customer Support for assistance updating educator emails. 

 

Q: I'm trying to add several new teachers manually but am being asked to add them to a classroom. These teachers don't have classrooms yet. Is there a place where I add their classroom first?

A:  All teachers must be associated with a classroom in DreamBox Math, and the classrooms need to be created first.  DreamBox Math classrooms need to be created using the rostering method your school or district used to create or update schools, educators, students, and classrooms in DreamBox Math. They cannot be created through the dashboard. If your school or district uses: 

  • An automated rostering method like Clever, ClassLink, or ARM: Your district IT team must create and share the classrooms with DreamBox Math, ideally associating the teachers you are trying to create with the classroom. Please reach out to your site administrator or district IT team and request these changes. 
  • Spreadsheet uploads at the beginning of the year (Insight Roster Upload): If you have permissions to upload spreadsheets, you can upload the new teachers first using the Educators spreadsheet, and then use the Student/Classroom spreadsheet to create classrooms, add students, and associate the new teachers with the classrooms.

Q: I need to give a teacher school-admin permissions in DreamBox, but the teacher already has an account in DreamBox. Is there a way to do this in the dashboard?

Q: I need to move a principal from one school to another in DreamBox. Can I do that in the dashboard?

Q: Can I create a few teacher or administrator accounts without uploading a spreadsheet?

A: Yes, but this depends on your school or district's rostering method. If your school or district uses:

  • An automated rostering method like Clever, ClassLink, or ARM:  We recommend that all educator accounts are created through your district IT team and the rostering method your district uses. Please reach out to your site administrator or district IT team and request these changes. 
  • Spreadsheet Uploads at the beginning of the year (Insight Roster Upload): You can manually create individual educators in your educator dashboard if you have Edit permissions. Click here to open instructions.
     
Q: How do I remove educators from DreamBox Math?

A: How your district or school removes educator accounts depends on how your IT team and/or DreamBox Math administrator creates and updates rosters in DreamBox Math. If your school or district uses:

  • An automated rostering method like Clever, ClassLink, or ARM: Your district IT team must stop sharing the educator accounts that should be removed with DreamBox Math. When our system processes that your district no longer wants these educators to have access to DreamBox Math, the educators are removed from all school or classroom associations and lose access to the program. Please reach out to your site administrator or district IT team and request these changes.
